This Privacy Policy describes the policies and procedures of Universitas Kristen Petra or Petra Christian University/PCU (hereinafter referred to as PCU) regarding the collection, use, and disclosure of your information when you use PCU's services. This policy also informs you about your privacy rights and how your privacy is protected.
PCU uses your personal data to provide and improve its services. By using PCU's services, you consent to the collection and use of information in accordance with this Privacy Policy.
I. Definition
For the purpose of this Privacy Policy:
- PCU (also referred to as "we" or "us" in this policy) refers to Universitas Kristen Petra or Petra Christian University/PCU, located at Jalan Siwalankerto 121-131, Surabaya.
- Account refers to a unique account created for you to access our Service or parts of our Service.
- Affiliate refers to an entity that provides specific URLs through an affiliate program, including an affiliate ID, a specific number, or a username, and tracking parameters.

- Country refers to the Unitary State of the Republic of Indonesia (NKRI).
- Device means any device that can access the Service, such as a computer, a cellphone, or a digital tablet.

- Service refers to PCU’s websites and applications.
- Service Provider means any natural or legal person who processes data on behalf of UK Petra. This includes third-party companies or individuals employed by UK Petra to facilitate, provide, or help analyze how the Service is used.
- Usage Data refers to data collected automatically, either generated by the use of the Service or from the Service infrastructure itself (for example, the duration of a page visit).
- Website refers to the websites managed by PCU, accessible via the domains www.petra.ac.id or my.petra.ac.id.
- You refers to the individual accessing or using the Service, or the company or other legal entity on behalf of which such individual is accessing or using the Service, as applicable.
II. Collection and Use of Your Personal Data
Types of Data Collection

- While using PCU’s services, we may ask you to provide certain information that can be used to contact or identify you. This information includes, but is not limited to:
- Name and contact details (email address, phone number, home address)
- Gender
- Date of Birth
- Nationality
- Education Level
- Work Experience
- Emergency or Parent / Guardian Contact Details (email address, phone number)\
- Identity Document
- Preferences and Behavior (reasons for choosing the service, media preferences)
- While using PCU’s services, we may ask you to provide certain information that can be used to contact or identify you. This information includes, but is not limited to:
- Usage Data
- Usage Data is collected automatically when using the Service. This data may include details such as your Device’s IP address, browser type, browser version, the pages of our Service that you visit, the time and date of your visit, the time spent on those pages, unique device identifiers, and other diagnostic data.
Information may also be collected from mobile devices, including the type of device, unique ID, IP address, operating system, and the type of mobile internet browser. Furthermore, all academic activity data (such as course registration (PRS), grades, transcripts, and mentoring) as well as non-academic activities (such as competitions, student organizations, student activity units (UKM), and achievements) are also included.
- Usage Data is collected automatically when using the Service. This data may include details such as your Device’s IP address, browser type, browser version, the pages of our Service that you visit, the time and date of your visit, the time spent on those pages, unique device identifiers, and other diagnostic data.
- Cookies and Web Beacon

- How PCU Uses Your Personal Data
- PCU uses the collected Personal Data for the following purposes:
- Provision: Your Personal Data is used to ensure you can access and use the services provided by PCU, such as access to educational platforms, student accounts, and academic information portals.
- Account and Registration Management: Personal Data is used to manage your account, ensure a smooth registration process, and provide access to various Service features.
- Communication Management: Your Personal Data will be used to contact you via email, phone, SMS, or other notifications regarding academic information, important announcements, or Service changes.
- Marketing and Promotion: PCU may use your Personal Data to send you information about relevant events, programs, or offers related to PCU, as long as you have not opted out of receiving such communications.
- Service Development and Improvement: Your Personal Data is used for internal analysis, identifying usage trends, and developing better services in accordance with user needs.
- Legal Compliance: PCU uses your Personal Data to comply with applicable legal obligations, such as reporting to government authorities and adhering to educational regulatory requirements.
- Security and Fraud Prevention: Personal Data is also used to protect the security of PCU's services, prevent unauthorized access, and detect potential security threats or fraudulent activities.
- PCU uses the collected Personal Data for the following purposes:
- Retention of Your Personal Data
- PCU will retain your Personal Data only for as long as is necessary for the purposes set out in this Privacy Policy. PCU will retain and use your Personal Data to the extent necessary to comply with our legal obligations (for example, if PCU is required to retain your data to comply with applicable laws), resolve disputes, and enforce our legal agreements and policies.
- PCU will also retain Usage Data for internal analysis purposes. Usage Data is generally retained for a shorter period, except when this data is used to strengthen the security, improve the functionality of our Service, or if PCU is legally obligated to retain this data for longer periods.

- Your information, including Personal Data, is processed at PCU’s operational offices and in other locations where the parties involved in the processing are located. This means that your information may be transferred to and maintained on computers located outside of your country, province, or governmental jurisdiction, where data protection laws may differ from those in your jurisdiction.
- By consenting to this Privacy Policy and submitting your information, you agree to such transfer.
- PCU will take all necessary steps to ensure that your data is treated securely and in accordance with this Privacy Policy, and no transfer of your Personal Data will take place to an organization or a country unless there are adequate controls in place, including the security of your data and other personal information.
- Deletion of Your Personal Data
- You may request the deletion/deactivation of your Personal Data collected by PCU, provided there is no longer a higher or greater legitimate interest for its retention. PCU’s Service may offer you the ability to delete certain information directly from within the Service itself.
- You can also update, amend, or delete your information at any time by signing into your account (if applicable) and visiting the account settings section that allows you to manage your personal information. Alternatively, you may contact PCU to request access, correction, or deletion of any Personal Information that you have provided to us.
- Please note that PCU may need to retain certain information when we have a legal obligation or lawful basis to do so.
III. Disclosure of Your Personal Data
- Business Transactions
- In the event of a change of control or management, your Personal Data may be transferred to the new entity. You will be notified before such transfer occurs and before your data becomes subject to a different Privacy Policy.
- Law Enforcement
- Under certain circumstances, PCU may be required to disclose your Personal Data if mandated by law or in response to valid requests by public authorities (e.g., a court or a government agency).
- Other Legal Requirements
- PCU may disclose your Personal Data in the good faith belief that such action is necessary to:
- Comply with a legal obligation
- Protect and defend the rights or property of the university
- Prevent or investigate possible wrongdoing in connection with the university service
- Protect the personal safety of the service users or the public
- Protect against legal liability
- PCU may disclose your Personal Data in the good faith belief that such action is necessary to:
- Security of Your Personal Data
- PCU prioritises the security of your Personal Data by using commercially acceptable means to protect it. However, no method of transmission over the Internet or electronic storage is entirely 100% secure. Therefore, absolute security cannot be guaranteed.
- Child Privacy
- PCU does not knowingly collect Personal Information from children under the age of 13. If you are a parent or guardian and are aware that your child has provided Personal Data to PCU, please contact PCU.
- Links to Other Websites
- PCU’s service may contain links to external websites that are not operated by the PCU team. If you click on a third-party link, you will be directed to that third party's site. PCU is only responsible for the data used for PCU's interest and has no control over, and assumes no responsibility for, the content, privacy policies, or practices of any third-party sites or services.
IV. Changes to this Privacy Policy
PCU may update this Privacy Policy from time to time. Notice of any changes will be posted on this page. You will be notified via a prominent notice on our service before the changes become effective. The "Last updated" date at the top of this Privacy Policy will also be updated. Please review this Privacy Policy periodically for any changes. Changes to this Privacy Policy are effective when they are posted on this page
